At Car 2000, we do our very best to make sure your privacy and data remains safe and secure at all times. Our cloud based booking system is fully encrypted and password protected. All our staff have recieved training and fully understand their duties in line with our data protection policies and the law.

The following policy explains how Car 2000 (Heywood) LLP obtains, stores and processes your personal information. We are committed to ensuring that your privacy is protected and are GDPR provision compliance (GDPR (EU) 2016/679). Should we ask you to provide certain information by which you can be identified when using our products and services, you can be assured that it will only be used in accordance with this privacy statement.

Please note: All telephone calls made to our office are recorded and all emails are stored for monitoring purposes.

What Personal Data Do We Collect?

We may collect the following information when you use our products or services:

  • Taxi booking information including the date & time, pickup location and destination
  • Additional booking information including Aeroplane flight number, luggage and child seat requirements.
  • Your location whilst using our mobile booking application, if you specifically allowed the app access to this data.

How Do We Process Your Personal Data?

All personal data relating to the booking of our services is processed using our cloud-based computer software provided by Autocab. As required by law, all booking data is stored for a minimum period of six months from the point of service. After this period has lapsed, data can be deleted upon request. All booking data will be automatically deleted after a period of eighteen months.

Why Do We Record Your Calls?

All calls made to our office are recorded for monitoring and quality assurance purposes, our staff may securely listen to calls to check/confirm your booking details. All call recordings are automatically deleted after a period of 6 months, and can only be downloaded by management.

Who Do We Share Your Personal Data With?

All data that is collected, processed and stored is secure and we do not share it with any third parties without your prior authorisation.

We may share your telephone number with your driver for the purposes of locating you and returning items left in the vehicle. Our drivers are instructed to only use your telephone number in these circumstances, delete after use and not to share with any other person.

Upon lawful request from the police and local authorities, we are obliged to assist and share personal data.

What Happens In The Unlikely Case Of A Data Breach?

If a data breach was to occur the ICO and affected consumers would be notified within two weeks.

How Do We Detect A Data Breach?

Although unlikely, we must remain vigilant that a data breach could occur. Car 2000 (Heywood) LLP uses up-to-date anti-virus and anti-malware software on all computers connected to its office network to ensure early detection and intervention.

We have kept our “supply chain” very compact, communicating directly with Autocab, so that we can work in partnership to detect and inform of data breaches. Each member of the supply chain has stringent data policies and security and they have a duty of care to inform us of any data issues at the earliest possibility.

We have a dedicated data protection officer who is registered with the ICO. You can contact our officer at any time for enquiries or more information. The officer is responsible for overseeing the security and protection of personal data.

What Measures Do We Take To Ensure The Security Of Your Personal Data?

All members of office staff & drivers have received training and adhere to strict privacy and data protection policies. In order to reduce the risk of viruses and malware, no usb storage devices are allowed to be connected to any computer in the office.

Personal data is retained within our cloud booking software (Autocab Ghost) at all times and only trained office staff have restricted password-protected access.

This privacy policy may change from time to time, and was last updated in April 2020.
